Applicant Data Privacy Notice

TASI Measurement, and its subsidiaries, care about your privacy and are committed to handling personal information about job applicants in a fair, transparent, and secure way. This notice explains how we collect, use, and retain applicant information and describes your privacy rights in the locations where we recruit.

What Information We Collect

When you apply for a role with TASI Measurement, or any of its subsidiaries, we may collect:

  • Contact details (such as name, address, email, phone number)
  • Application materials (such as CV or résumé, cover letter, application responses, portfolio)
  • Information from interviews and assessments
  • Background‑check or reference information, where permitted by law
  • System and usage information related to your application (such as application dates, status, and communications)

We collect this information directly from you, from recruitment or assessment providers, and, where allowed, from referees or publicly available professional sources (for example, LinkedIn).

How We Use Applicant Information

We use applicant information to:

  • Receive, review, and manage applications
  • Assess skills and experience and make hiring decisions
  • Communicate with you about your application and other suitable opportunities
  • Comply with legal and regulatory obligations (such as recordkeeping and reporting)
  • Improve our recruitment processes and reporting, including through aggregated or anonymized analytics

We do not use applicant information for purposes that are incompatible with recruitment and related compliance, and we do not sell applicant personal information.

Use of Technology and AI in Recruitment

We may use technology‑enabled tools to help manage applications and support our recruiters (for example, to organize applications, search for relevant skills, or generate interview questions). We do not use artificial intelligence (AI) or other automated tools to make final hiring decisions or to make decisions that produce legal or similarly significant effects about you. All hiring decisions are made by people.

How Long We Keep Applicant Information

We keep applicant information only for as long as necessary to manage recruitment, meet legal and regulatory requirements, and handle any questions or claims about the process. Retention periods vary by country to reflect local laws and guidance.

For unsuccessful candidates, our typical retention periods are:

Country / Region Typical retention for unsuccessful candidates
United States (incl. CA) Up to 4 years after the position is filled or closed
United Kingdom Up to 6 months (up to 12 months where justified or with consent for a talent pool)
Germany Up to 6 months after completion of the selection process
Switzerland Typically, 3–4 months after conclusion of the recruitment process
Canada Typically, 1–2 years where information was used to make a hiring decision

If you are hired, information from your application becomes part of your employee record and is retained according to our employee record‑keeping requirements, which may differ from the periods above.

Your Privacy Rights

Depending on where you live and the role you apply for, you may have rights such as:

  • Accessing the personal information we hold about you
  • Requesting correction of inaccurate or incomplete information
  • Requesting deletion or anonymization of your information where it is no longer needed
  • Objecting to or restricting certain types of processing
  • Requesting a copy of certain information in a portable format
  • Submitting a complaint to a data protection or privacy regulator

For residents of the European Economic Area, the United Kingdom, and Switzerland, we process your information in line with applicable data protection laws (including the GDPR and UK GDPR), relying on grounds such as legitimate interests, compliance with legal obligations, and, where appropriate, your consent for specific purposes.  Where we rely on your consent for a specific processing activity, you may withdraw that consent at any time, without affecting the lawfulness of processing that took place before your withdrawal.

For residents of California, we handle applicant information in line with the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA). This includes providing information about the categories of information we collect, the purposes for which we use it, our retention practices, and your rights to know, delete, correct, and limit use of certain information. We do not sell or share applicant personal information in the sense defined under CCPA/CPRA.

In all countries where we recruit, we aim to handle applicant information in a way that is consistent with local privacy and data protection laws and with the rights they provide to individuals.

In some circumstances, we may need to retain limited information for a period of time to complete active recruitment activities or comply with legal, regulatory, or record‑keeping requirements.

Request to Remove Your Personal Data

Applicants may have the right under applicable privacy and data protection laws to request the deletion or anonymization of personal data held in connection with their applications. TASI Measurement, and its subsidiaries, reviews such requests in accordance with applicable law, internal policies, and the nature of the recruitment activity involved.

In some situations, we may need to retain certain data for a period of time to:

  • Complete an active recruitment process
  • Comply with legal, regulatory, or record‑keeping requirements
  • Maintain appropriate records of our recruitment activities

Once the lawful basis or business need for retaining your data no longer applies, we will delete or anonymize your information in line with our applicant data retention schedule and internal policies.

We will handle all requests in a fair, consistent, and transparent manner, and respond within the timeframes required by the privacy laws that apply in your location.

Request for Data Portability

In some countries, privacy and data protection laws give applicants the right to request a copy of certain personal data they have provided, in a structured, commonly used, and machine-readable format. Where this right applies, TASI Measurement, and its subsidiaries, will respond in accordance with the legal requirements of the relevant location. This right generally applies to data provided by the applicant and processed by automated means, where local law recognizes a portability right.
